We are looking for an Office Administrator to manage our front desk and to perform a variety of administrative and PA tasks.

As an Office Administrator, you will be the first point of contact for our site. Your duties include offering administrative support across the site. You will welcome guests and greet people who visit the business.

To be successful,  you should have a pleasant personality, as this is also a customer service role. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations.

This is a full time role (Mon-Fri 8.30-16.30) although a degree of flexibility is required as we operate a 24/7 site and occasionally host visits outside of office hours.

Main responsibilities
    Receiving and sorting daily mail, parcels and deliveries Greet and welcome guests as soon as they arrive at Reception Car Park Management Direct visitors to the appropriate person and office Answer, screen and forward incoming phone calls Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures) Provide basic and accurate information in-person and via phone/email Maintain site security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges) Order front office supplies and keep inventory of stock Company car, pool car and fuel card management Update calendars and schedule meetings Coordination of meeting room bookings and catering requests Arrange travel and accommodations Manage expenses of Senior Leadership Team Perform other duties such as filing, photocopying, and transcribing
Ideal candidate
    Proven work experience as a Receptionist/Office Administrator Proficiency in Microsoft Office Professional attitude and appearance Solid written and verbal communication skills Ability to be resourceful and proactive when issues arise Excellent organisational skills Multitasking and time-management skills, with the ability to prioritize tasks Customer service attitude
